We have now reopened the Space for bookings and events as an art gallery and low-capacity venue.

Are you an event manager, community organiser or workshop leader? Our beautiful Space will allow you to host a socially distanced meeting, activity or workshop for up to 25 people.

If you are an artist looking to put on an exhibition then this is a perfect space. If you are a traditional struggling artist without the budget to hire a whole gallery then consider joining the People's Art Fair.

PRSC believes that a healthy society is one in which the citizens have space to meet, share ideas, perform theatre, exhibit art, create, debate, learn and dance together. Our Space provides an accessible and affordable cultural hub, a platform for grass-roots arts, a meeting room for political groups, a venue for community projects and a resource that is available to everyone. Priority is given to educational, cultural and political activities, and to events being run by (or aimed at) people who are otherwise at risk of exclusion.

In order to provide such a high quality venue at these low prices, we run a ‘self-service’ system. In advance of your booking you will receive an induction which will give you all the info you need to open and manage the space yourself without the need of supervision from PRSC staff.

 PRSC The Space is located in a historic building, and has been beautifully and sensitively restored to allow maximum flexibility for hosting creative events and exhibitions.

Our venue is fully wheelchair accessible, but unfortunately our toilets are not. We intend to adapt our toilets in the future when we continue to develop our building.

Up to 150 people standing and 80 seated – depending on stage/seating configuration

What happens after my booking?

Once a booking has been made you will receive an invoice for the full amount of your event hire fee (including any equipment hire).

Your booking will be fully confirmed once this invoice has been paid.

Once the booking is confirmed a date will be arranged for an induction session (how to open up & lock up, where the light switches are, how to use the equipment, what to do in case of emergency etc). Once you have been inducted you will be ready to roll.

Tea & coffee

A kitchen with tea and coffee making facilities is available to all event managers.
Please provide your own milk and put a coin in our donation pot for every hot drink served.

Alcohol

We can stock a bar for you to run and you can keep the profits
OR we can run a bar for you and keep the takings ourselves
Any event involving the sale of alcohol must be booked and agreed 3 weeks in advance.

Licence
Our licence allows the sale of alcohol until 9pm and music etc to run until 10.30pm.

Licence extensions can be applied for if you want to do something a bit later (say until midnight on a Friday or Saturday), please get in touch if you are considering this option.

We are based in a residential neighbourhood and work hard to remain friends with our neighbours so we can’t host really late or really loud stuff.

Included as standard

  • 8 x 4ft wooden stage blocks, black.
  • Kitchen (equipped with crockery, glassware, some cutlery, utensils, kettle, sink with H&C)
  • Bar area – large serving hatch, 2 x fridge
  • 2 x toilets (both have Hot and Cold running water and will be stocked with loo roll – you might want to BYO hand towels, as we don’t have hand-dryers)
  • Tables (there are 4 or 5 odd sized tables, in reasonable condition)
  • Foldable chairs (approx. 70)
  • Furniture on wheels including 2 shelves for storage (H 2.6m X W 2.58m X D 0.64m), sofas and smaller items

Venue Hire Fees

Evenings and weekends

  • £20 hourly rate
  • £85 for up to 6 hours
  • £150 for a full day (collect the key the previous day and open & close the venue when you want).

Daytime weekdays (events finishing at 6pm or earlier, Mon-Fri)

  • £15 per hour
  • £60 for up to 6 hours

Short Term / Weekend Exhibitions
For those wishing to run a short exhibition on a low budget, we can offer a weekend exhibition as follows:

  • Install Friday day time – FREE
  • Opening night 6-9pm Friday (PRSC can provide a bar)
  • Saturday / Sunday open 12-5pm
  • Sunday evening to take show down – FREE

Total fee for weekend exhibition is £250 including install, take down and opening night.

Equipment Hire Fees
If you would like any assistance in setting up your event or on-site assistance, this will be charged at £10 per hour.

  • 1x Projector = £20 per event
  • 1x Small PA, with 2x mics and stands = £20 per event
  • 1x Large PA, with 2 mics & stands = £50 per event
  • 1x Lighting bar, with 3 spotlights and a DMX controller = £70 per event
  • 1x Lighting bar, with 3 spotlights = £40 per event
  • 1x DMX controller = £30 per event
  • Full music and lighting kit = £100 per event

Good to know

  • All bookings over 2 hours will involve an additional £50 deposit which will be refunded in full if the space is left clean for the next event (£10 will be taken from the deposit for every hour of staff time required to clean the space after an event).
  • Noise/timings: there must be no amplified noise after 21.00hrs. All guests must be out of the building and external doors locked by 23hrs at the latest.
  • Full payment will be required to secure your booking.

Are there parking spaces for event organisers & participants?

On street pay and display car parking can be found throughout Stokes Croft and St Pauls. Additionally there are two car parks within 10 minutes walk; NCP on Bond Street and Cabot Circus on Newfoundland Circus BS2 9AB

Is there a bar / is it a licensed venue?

The Space is licenced to serve beer, wine, cider etc (not spirits) until 9pm. If you wish to carry out licensable activities after this time, you should obtain your own Temporary Events Notice. www.gov.uk/temporary-events-notice.

We can run the bar for you, or if you wish to run it yourself, we stock it with local products (Wiper & True, , Butcombe, Essential and so on) which is charged to you at the cost price plus a small surcharge. You then charge whatever you like and keep the profits.

As a community organization we feel it is important to support local businesses. Please ask for a detailed price list.

Can you provide a catering service?

We don’t do catering, but if you would like to arrange something we can discuss some options.

How can I check for availability?

Look for your date(s) here: www.prsc.org.uk/events/. Our event calendar online is nearly always up to date.

Can I arrange a viewing prior to booking?

We understand the need to check out the venue before booking – we will try to accommodate this where possible.

I filled out and sent you my booking form, what happens next?

We will quote you for your booking and when you are happy we will confirm your booking by sending you a booking agreement. Once you have signed and returned the agreement our finance department will invoice you for the booking.

Do you need a deposit?

Full payment will be required to secure your booking.

What happens if I want to cancel my booking?

A non-refundable deposit of 50% total booking cost will be retained if you cancel the event 14 days before your booking date.

Do you have wifi in your venues?

We offer free wifi throughout the PRSC building. You will find the wifi code on posters in all spaces.

Will you help me promote my event?

If you provide us with details we are happy to help promote your event via our website events page and PRSC Social Media.

There are 3 A2 poster frames on the PRSC building which you can use, as well as 2 A-boards (59cm X 88cm) on Jamaica Street.

Every public event needs an Event Host as a representative for the event. It is the responsibility of this event host to ensure that the guidelines below are met:

  • Host and stewards must complete a Health and Safety induction before the event
  • It is the responsibility of PRSC to induct the Event host and ensure all stewards are inducted to health and safety procedures. This must be done in advance of any set-up crew entering the building to set up.
  • Event hosts must be clear on:
    • Location of first aid kit
    • Fire exits, fire assembly points, and evacuation procedures
    • Location of toilets
  • It is the responsibility of the Host to inform others in their group of health and safety procedures:
    • No naked flames allowed within the building
    • Smoking is strictly prohibited in the building.
    • The recreational use of any drugs is strictly prohibited in the building
    • No additional lights or other electrical equipment, or extension from the existing electrical system shall be added without the permission of PRSC staff. Any electrical equipment must PAT tested with appropriate labeling prior to use
  • We are very happy for people to come decorate and make art. We would like to ask you to make good and leave the Space the way you found it
  • PRSC have the right to charge for any theft or physical damage made to equipment, property, or premises during the hire period
  • Fire escapes must be kept clear
  • Do not prop or leave fire doors open for any period of time

Event Host personal responsibility

  • The Event Host must be over 18 years old
  • It is the responsibility of the Event Host to insure against theft, loss or damage of equipment, or personal injury to themselves or any group of people for which they are responsible. PRSC will not be held liable for any claims in respect of damage, loss or injury other than those arising out of the act or omission of PRSC and its members
  • The Event Host should make their own arrangements to make sure their event is appropriately risk assessed and has adequate insurance cover. The Event Host may be required to present evidence of their own public liability insurance in advance
  • The Event Host shall agree numbers for the event party with the bookings coordinator in advance. The host must ensure that this number is not exceeded at anytime during their event
  • The Event Host must be sober and capable of dealing with an emergency at any time during the event
  • Ensure no person under 18 will be allowed into the building unsupervised
  • Do not begin using a room that is in an unsafe condition. Walkways and fire escape routes should be clear, the floor free from trailing cables, no spillages or condensation which could cause slips. If you do find the room in an unsafe condition please contact a PRSC member of staff to rectify the situation
  • Stop using a room that becomes unsafe during the booking
  • Any concerns or incidents should be flagged to us right away so that they can be logged

Clearing out

  • The host must clear down the space back to its original state immediately after the close of the event
  • Any rubbish must be binned or removed
  • It is the responsibility of the host to leave at the agreed time

Alcohol

If there is alcohol at the event there must be an appropriate license agreement.

Cancellation
